Searching for Users

When managing a number of users, it's possible to search and filter the results shown in the table.

Table Sorting

By default the table is sorted alphabetically by latest registered. Once the table has loaded you're able to change the sort column by clicking the up/down arrows:

Filtering the Table

It's possible to filter users based on a number of conditions:

  1. Visit Users -> Manage Users and click "Filter Results".
  2. Select the condition you wish to filter by, the filtering operator such as 'Is', 'Is Not' or 'Contains', and the value to filter by.
  3. Click 'Update' to update the results in the table.

Creating or Updating a User

  1. Visit Users -> Manage Users. If you're creating a new user click "Add User", or if you're updating an existing user, find the user and click the edit (pencil) icon on the right side of the table row.
  2. Complete the form fields:
    Profile
    1. First name
    2. Last name
    3. Email - The unique email address for the user which they will use to login to help desk and receive notifications. Additional email addresses can be set for the user, which are used when parsing emails so they are processed under their account.
    4. Password - It is possible to configure a password for a user or alternatively, for better security, allow the user to create the password by themselves.
      When creating a new user account, if you prefer to manually specify the password for a user uncheck the "Send user confirmation e-mail" box and input a password.
      Alternatively, if you're updating a user account and need to reset their password - click the "Send reset password" button.
    5. Phone Numbers
    6. Country
    7. Language - The language the user prefers to use. The help desk will then be configured to show text in that particular language for the user.
    8. Timezone - The timezone the user exists in is used to ensure timestamps displayed in the help desk are displayed correctly for that user.
    9. Avatar - A public image which will be sent in all e-mail and web-based ticket correspondence.
    10. Notes - Add notes on the user which are visible to operators only.
    Organisation
    1. Name - The name of the organisation. It is possible to create a new organisation by typing into the field and clicking "Add ..." or searching for an organisation and selecting it from the dropdown menu.
    2. Access Level - Organisation's are configured on a two-tier system of users and managers. Managers are given elevated permissions in viewing all ticket correspondence with the organisation and controlling who has access to the organisation. The access level can only be changed if the user is not currently the owner of the organisation.
    3. Notifications - If the user is a manager of an organisation, you can choose if they should receive updates about tickets opened by other organisation users. It will preselect the default value set under Organisation settings in General Settings.
  3. Click "Submit" to save the user.

Deleting a User

To delete a user, follow the below steps:

  1. Visit Users -> Manage Users.
  2. Find the user you would like to delete in the table (see Searching for Users).
  3. Click the delete icon located on the right of the table.
  4. Click on the left button, "Yes, Delete User", that pops up confirming you would like to delete this user, along with the related data shown, and they will now be deleted.

Merge Users

You can merge users together, for example merging a duplicate user account into an existing user account.

To merge users, follow the below steps:

  1. Visit Users -> Manage Users.
  2. Find the duplicate user that you'd like to merge into another account (see Searching for Users) and open their profile.
  3. Click the "Merge Users" button at the top.

  4. Search for the user you'd like to merge this user into.

  5. Hit "Merge" to proceed, you will be redirected to the merged user profile once completed.

User data that is merged

Below is a description of all data that is changed when one user account (merging user) is merged into another user account (merged user).

Data Merge Result
Tickets All tickets belonging to the merging user will now be owned by the merged user. Ticket messages will also show as being sent by the merged user.
User Profile & Notes The merging user's profile data (other than email address) and notes will be lost. The merged user's profile data and notes will not change. The merging user's email address is added an additional email address to the merge user's profile.
Organisation The merging user's organisation membership will be lost. The merged user's organisation membership will not change.
User Groups Merged user will be added to any user groups that the merging user was in.
Phone Numbers Merging user phone numbers will be added to the merged user's profile.
Facebook / Twitter ID If the merging user was created from the Facebook or Twitter channel and the merged user doesn't have these IDs set currently, it will be copied over. This will mean you can continue to reply to their social media tickets under the merged account.
Self-Service Any comments and ratings by the merging user will now belong to the merged user.
Activity Log All logged activity by the merging user will now belong to the merged user.

Export User Data

If you need to export a single user's data, an export option is available in the system that will pick up all data belonging to that user.

To export a user's data, follow the below steps:

  1. Visit Users -> Manage Users.
  2. Find the user for whom you'd like to export their data in the table (see Searching for Users) and click their name.
  3. Scroll to the bottom of the Profile section and click on the "Export Data" button. Select the data that you would like to export and click "Generate".

  4. This will schedule an export to be generated in the background. An email will be sent to you when it's ready and available to download.
  5. Once ready, an export will show above the button. Click on the file name to download it.
